Permanent senior level position in the Medical (Dental) industry.

The role of the Practice Manager is to liaise with the Head Receptionist, Head Nurse and Clinical Team to ensure the smooth and efficient running of the practice as a whole. It is expected that the Practice Manager has a basic working knowledge of all protocols and procedures listed below. Systems should be in place to quickly access details on more complex or infrequently used procedures as and when required.

While the below outlines the areas of responsibility it is expected that the practice Manager should exercise initiative in all areas, and develop where appropriate modifications and additions to the role in conjunction with the principles.

PRIMARY RESPONSIBILITIES:

  1. To oversee all areas of the practice and ensure all protocols in place are followed
  2. To maintain the practice accounts
  3. Inventory Management
  4. Billing
  5. To ensure accurate maintenance of financial and patient records
  6. To ensure the reception and nursing teams carry out their duties in support of the clinical team
  7. To carry out such duties as deemed necessary on occasions for the efficient running of the surgery

Primary Responsibilities explained:

1. To oversee all areas of the practice and ensure all protocols in place are followed

Staff:

  • Job descriptions
  • Holiday leave policy and request forms
  • Sickness absence

Reception:

  • Greeting patients
  • Answering telephone
  • Booking appointments
  • Emergency appointments policy
  • Patient payment policy
  • Refund policy
  • Patient recall policy (routine and lapsed patients)
  • Policy for cancelling and rearranging of patient appointments

Working knowledge of all available treatments including prices:

  • Cosmetic fillings and crowns
  • Teeth whitening
  • Orthodontics
  • Implants

Surgery:

  • Daily/Weekly/Monthly checks in place for interior and exterior of practice
  • Opening up and closing down of surgery procedures
  • Have in place system for dealing with mail as appropriate
  • Checking cleaning is performed to a suitable standard
  • Liaise with printers, as required, for new/updated stationery

2. To maintain the practice accounts

  • Understanding & cross checking of incoming invoices and statements
  • Annotation of invoices and statements to aid book-keeper in allocation for accounting purposes
  • Basic understanding of computer based accounts

3. Inventory Management

  • Monitor inventory and order dental office supplies as needed
  • Monitor and make sure all dental office equipment is working properly

4. Billing

  • Prepare billing statements promptly and accurately mail billing statements
  • Prepare and mail overdue account letters as directed by Dentist
  • Telephone patients with accounts overdue
  • Manage patient financial accounts

5. To ensure accurate maintenance of financial and patient records

  • System for regular updating of medical history questionnaires
  • Regular backups of main surgery and laptop computers

6. To ensure the reception and nursing teams carry out their duties in support of the clinical team

  • Reception team to be monitored regularly to ensure all protocols are being adhered to
  • Appropriate training and re-training of all staff to be in place
  • To deal with any patient complaints that may arise in
  • To get quotations for works required and be in a position to explain quotes and give recommendations
  • Have knowledge of regular dental reps. And suppliers
  • Seek and arrange appropriate update meetings to keep principles abreast of
  • Patient lists
  • Staff holidays and sickness
  • Appointment waiting times
  • Lapsed patients and timing of recalls
  • Surgery maintenance required and to be done

7. To carry out such duties as deemed necessary on occasions for the efficient running of the surgery

MINIMUM REQUIREMENTS:

  • Minimum Grade 12
  • Relevant qualification in General Administration
  • 3 years Practice/Office Management experience
